1 GUIDA ALL UTILIZZO DELLA SEZIONE EVENTS DI BANCA IMI o ENGLISH VERSION: GO TO PAGE 8 Per accedere alla sezione cliccare l apposito link contenuto in Atlante. Verrete indirizzati alla lista degli Eventi attivi dove fare login con i nuovi codici in vostro possesso. Eseguito il login si accede alla schermata operativa che permette di: o o o o Gestire l anagrafica dei clienti del proprio ufficio (Client Management) Gestire e monitorare gli inviti dei propri clienti allo specifico evento (Invitations Management) Consultare la lista degli invitati - da tutti gli uffici - allo specifico evento (Coming/Not coming) Consultare la reportistica sugli eventi già conclusi (Reports) Updated November 2012 Page 1 Comunicazione di Prodotto

2 1. COME GESTIRE LE PROPRIE LISTE CLIENTI Nella sezione denominata Client Management si trova la lista clienti relativa alla propria area commerciale. In questa sezione si possono effettuare le necessarie variazioni anagrafiche: 1. Inserimento di nuovi contatti (cliccare sul tasto Add Client in basso a destra, compilare i campi obbligatori contrassegnati da asterisco, cliccare su Add Client per conferma) 2. Modifica dei dati esistenti (cliccare su Modify, aggiungere o variare i dati e cliccare in basso su Modify per conferma) 3. Eventuali cancellazioni (cliccare su Delete e poi in basso su Delete per conferma) I colleghi devono anagrafarsi all'interno della lista al fine di potersi successivamente auto-invitare e quindi registrare ai singoli eventi. L accesso alla lista avviene tramite password dedicata per ogni gruppo di Sales. La lista riporta un subset dei dati censiti. Per visualizzare l insieme di tutti i dati basta posizionare il mouse sull indirizzo del cliente. Updated November 2012 Page 2 Comunicazione di Prodotto

COME SELEZIONARE GLI INVITATI E MONITORARNE LO STATUS Nel riquadro dello specifico evento, cliccando Invitations Management si apre una seconda finestra dove si possono selezionare (flaggando il box corrispondente) i clienti che si desiderano invitare e cliccare sul tasto. Invite in basso a sinistra. Come conseguenza lo status del cliente cambia in INVITED. Con il tasto Flag All è possibile selezionare tutte i clienti visibili nella schermata. Il responsabile abilitato alla validazione degli inviti, procedendo allo stesso modo, clicca su Validate in basso a sinistra ( lo status diventa VALIDATED ) per approvare le scelte dei propri collaboratori e permettere all'ufficio Comunicazione di Prodotto, a scadenze prefissate, di provvedere all'invio delle mail ai clienti. Se per qualche ragione si cambia idea si può riportare il cliente allo stato precedente cliccando su Restore o annullando gli stati precedentemente creati. Rientrando nella funzione Invitations Management sarà inoltre possibile vedere lo status di ogni invito ed avere così il polso della situazione dei propri clienti. 3. ORIENTARSI NELLA LISTA La ricerca dei nominativi è facilitata dalla maschera di ricerca in alto che permette di filtrare tramite cognome, società e status del cliente o del primo sales di riferimento. Cliccando su Search si avvia la ricerca, cliccando su Clear si puliscono i campi e si ritorna alla lista totale. Le intestazioni di alcune colonne sono cliccabili per ordinare i contenuti in ordine alfabetico, analogamente a quanto succede in excel. Le liste sono divise in pagine di 20 occorrenze, nella parte inferiore sono presenti i link che permettono di scorrere le varie pagine. Updated November 2012 Page 3 Comunicazione di Prodotto

4 4. INVIO DELLA MAIL E REGISTRAZIONE DEI CLIENTI Gli inviti vengono inviati centralmente dall ufficio Comunicazione di Prodotto, a scadenze prefissate, evitando così doppi invii al cliente. Il sistema di registrazione non pemette infatti di procedere quando un cliente è stato precedentemente selezionato da un altra area commerciale. I sales di riferimento sono in cc nella mail di invito, anche quelli appartenenti a differenti aree commerciali che non hanno potuto selezionare il nominativo perché già indicato da un altro ufficio. La mail di invito contiene i due link diretti (SI / NO) che il cliente destinatario della mail deve cliccare per rispondere all invito. (NB: non è più previsto il link Register here e il si/no successivo). Attenzione! I link sono legati alla registrazione del cliente pertanto non vanno cliccati da parte del Sales. 5 Dopo aver cliccato su SI o NO il cliente visualizza la schermata di conferma della sua scelta: oppure, in caso di risposta negativa: In casi di forza maggiore, il Sales di riferimento può registrare il proprio cliente entrando nella sezione Invitations management e forzando la registrazione tramite il link Force Registration (attivo sui clienti che hanno ricevuto la mail). Il link Force Registration appare anche per i clienti in stato NOT COMING per consentire al Sales di invitarlo nel caso avesse cambiato idea. Se il Sales deve inviare la mail una seconda volta (nel caso il cliente non l'avesse vista o l avesse persa) deve contattare l ufficio Comunicazione di Prodotto. 6 5. LISTA DEI COMING, NOT COMING Da questa sezione si può avere una panoramica veloce sulle risposte ricevute dai clienti di tutte le aree commerciali per l evento in questione. E una funzione di sola consultazione e non operativa proprio perché contiene clienti di uffici diversi. 6. SIGNIFICATO DEGLI STATI DEL CLIENTE INVITED = Il sales ha selezionato il cliente perché venga invitato all evento VALIDATED = Il responsabile ha approvato TO SEND = L ufficio Comunicazione di Prodotto ha predisposto l invio della mail di invito SENT = La mail di invito è stata inviata al cliente COMING = Il cliente ha risposto sì all invito NOT COMING = Il cliente ha risposto no all invito NO SHOW = Il cliente si è registrato ma non è venuto WALK IN = Il cliente non si è registrato ma è venuto STD TO SEND = Il Save The Date è pronto per essere spedito STD SENT = Il Save The Date è stato spedito Updated November 2012 Page 6 Comunicazione di Prodotto

7 7. REPORTISTICA Cliccando su Reports si accede alla lista degli eventi conclusi elencati a partire dal più recente. Cliccando su View si accede al dettaglio del singolo evento. Il dettaglio riporta l elenco di tutti I clienti che hanno almeno ricevuto l di invito (stato Coming, Not coming, sent). E possibile filtrare l elenco e fare nuove consultazioni per singolo evento, società del cliente, cognome cliente, sales team e data evento. Updated November 2012 Page 7 Comunicazione di Prodotto

8 USERGUIDE FOR THE BANCA IMI EVENTS PAGE To enter, use the link you find in the one-click tool of Atlante. You will land on a page where you find all current events. Log in using your area user and password. Each area has its own user and password. After the login you can: o Manage your clients data, i.e. name, company, , etc (Client Management) o Manage and check invitations sent to clients of your area for each active event (Invitations Management) o See the list of attendees invited by all the areas of Banca IMI (Coming/Not coming) o See reports on the previous events (Reports) Updated November 2012 Page 8 Comunicazione di Prodotto

9 1. CLIENT MANAGEMENT In the Client Management view you find all the clients of your area. Here you can do the following: 4. add new contacts (click on Add Client on the low right, fill fields with an asterisk, click on Add Client to confirm) 5. change existing data (click on Modify, add or change data and click on Modify to confirm) 6. cancel clients (click on Cancel and on Delete to confirm) Please note, that colleagues have to add their own data in order to invite themselves and, afterwards, register themselves to the events. The list contains a data subset. To see the data for a specific name, you need to place the mouse on the client s . Updated November 2012 Page 9 Comunicazione di Prodotto

10 2. HOW TO SELECT CLIENTS AND CHECK THEIR STATUS Click the Invitations Management button inside the event window. A new view will open, where you can select clients you want to invite to the event. To invite them, flag the box corresponding to the client and afterwards click on the Invite button at the bottom-left. The client s status changes in INVITED. By clicking Flag All you can select all clients listed on the screen. The invitations have to be approved (validated) by the person in charge of this (usually the head of the area). He has to flag the box corresponding to the invited client and afterwards click the Validate button at the bottom-left. The client s status change in VALIDATED. When clients are Validated the Comunicazione di Prodotto desk send the invitation. The Restore link can be used after having invited/validated a client to set the previous status. The Invitations Management functionality can also be used to check the status of the client through the event. 3. HOW TO SURF THE LIST Top right there is a search map that allows to filter surname, company, sales team and status. Click on Search to start the searching, click on Clear to clear all fields and go back to the complete list. You can also click on the heads of some columns to ordinate them in alphabetical order (Last name, Sales 1, Company, Category, Status). Each page contains 20 clients. 11 4. INVITATION AND REGISTRATION When a client is invited by a certain desk, the system check that he has not yet been invited by another desk. If he has, the system blocks the second invitation. Invitation s are sent by the Comunicazione di Prodotto office. The invitation mail is sent in cc to all the sales that are registered as sales in the system, regardless of the desk they belong to. The invitation mail includes two direct links to allow the client to register himself or not to the event. (The link Register here and the next step is not valid anymore). 12 Below, please find what the clients see after clicking on YES: or NO: To register a client, if he cannot do it himself, you can enter the Invitations Management and click the Force Registration link. This link activates when the invitation was sent. The link can be used as well to register clients who are in NOT COMING status, in case they change their mind. 13 5. COMING, NOT COMING LIST The Coming, Not Coming function allows to see which clients, from all areas of the bank, have replied to the invitation mail. This is only a consultation function. 6. CLIENTS STATUS INVITED = a sales has selected a client to be invited VALIDATED = the validator has approved TO SEND = the is ready to be sent SENT = the was sent COMING = the client has registered NOT COMING = the client replied and said that he would not come NO SHOW = the client registered but did not show WALK IN = the client did not register but walked in STD TO SEND = the Save The Date is ready to be sent STD SENT = the Save The Date was sent Updated November 2012 Page 13 Comunicazione di Prodotto

14 7. REPORTS (new function) By clicking on Reports button you can see the list of completed events listed from the most recent. Click on View to access the full details of each event. The detail contains the list of all customers who have at least received the invitation (possible status are Coming, Not coming, sent).
